Personal information management (PIM) is the study of the activities that people perform daily to acquire, organize, maintain, and retrieve information. This information includes documents (paper-based and digital), web pages and email messages.
This personal information is used by all of us everyday to complete our day to day tasks (personal or business related). We need to manage this personal information to allow us to successfully manage the various roles we perform (at home, at work and socially).
Information In the ideal world, we have the right information at the right time, in the right place, in the right form, and of sufficient completeness and quality to perform the current activity. Personal information can include any of the following: Personal notes/journal Personal finance/banking Address books Lists (including task lists, shopping lists) Appointments and Meeting Reminders Significant calendar dates (birthdays, anniversaries) Email SMS Messages Fax messages Voicemail (land line & cellular) RSS Feeds Blogs
Technologies and tools such as ‘Personal Information Managers’ help us spend less time carrying out tedious and error-prone activities, such as searching for, collating and filing information. We then have more time to make creative, intelligent use of the available information in order to get things done, communicate better, acquire knowledge or, simply enjoy the information itself.
There are a bewildering number of tools available for managing personal information. As an information management tool, a PIM tool's purpose is
to facilitate the recording, tracking, and management of certain types of "personal information". Unfortunately these tools can add to the problem by leading to “information fragmentation”.
Personal information is currently fragmented across electronic documents, email messages, paper documents, digital photographs, music, videos, SMS messages, voice messages, and so on. Information also becomes fragmented because different devices and applications often come with their separate ways of storing and organizing information.
One goal in the study of PIM is to identify ways to introduce new tools to support the management of personal information without inadvertently increasing the complexity of a person’s information management challenge.
Conclusion The study of PIM means understanding better how people manage information across tools and over time. The subject of PIM is still new but really important to all of us who are overwhelmed by the flow of information through our personal and professional lives
